How an on-site booking works now
Booking us to come to you used to mean a few rounds of email before a figure appeared. Now any of three routes works: WhatsApp, the chat at the bottom right of this site, or the online quote form. In the chat, tell us the programme, how many people, the date and time, and the address; the assistant asks for whatever is missing — lift access for the equipment, the start time, your business email — and records the request under a reference.
Every quotation is reviewed by a colleague before it goes out. Within 30 minutes during office hours (Mon–Fri 10:00–19:00) the formal quotation lands in your work inbox; outside those hours, first thing the next morning. If the headcount, time or address changes afterwards, say so in the same chat — the request is updated, not duplicated.
What the quotation shows
An on-site quotation looks the way we have always written them: contact person and phone, date, time, address, number of sessions, headcount, the per-head rate times the number of people, and the return transport on its own line. The price assumes the headcount you gave; if more people turn up on the day, we charge for the actual number.
The notes say the rest plainly: we bring the equipment and materials and your venue provides filtered water; a T8 signal or black rainstorm warning postpones the session; every instructor has passed the Sexual Conviction Record Check; a venue without a lift means a stair carry, agreed separately. Nothing is hidden, and nothing is added after the quote.
What your venue prepares
Table space for the stations, standard 13A sockets and a water point nearby — filtered water if you have it. We bring the machines, grinders, milk and every consumable, and handle setup and clear-down. For a multi-session course the equipment stays with you between sessions, so the return transport is charged once.
If the room cannot be reached by lift, tell us when booking: a carry needs extra hands and is agreed in advance. For larger events we confirm the electrical plan with your venue beforehand.
How to pay
The formal quotation is valid for 14 days; we invoice on confirmation. Settle by FPS, bank transfer, company or personal cheque, cash or P-Card. Organisational clients can arrange invoice settlement, and we have completed procurement flows — supplier registration, vendor forms — with government departments, universities and listed companies.
